Hosted Reviews (“we,” “us,” or “our”) provides an automated review collection platform that enables local service businesses (“Business Owners”) to send SMS-based review request messages to their customers (“End Users”). This Privacy Policy explains how we collect, use, and protect information in connection with our services.

2. Information We Collect

Information from Business Owners

When you create a Hosted Reviews account, we collect:

• Business name and contact information (email, phone number)
• Business address and website URL
• Payment information for subscription billing
• Login credentials (email and password)

Information from End Users

When a Business Owner uses Hosted Reviews to send a review request, we process:

• End User name and phone number (provided to us by the Business Owner)
• SMS message delivery status (sent, delivered, failed)
• Whether the End User clicked the review link

We do not independently collect personal information from End Users. All End User data is provided to us by the Business Owner who has an existing business relationship with the End User.

Information Collected Automatically

• Usage data (login activity, feature usage, review request volume)
• Device and browser information when accessing the platform
• IP address and general location data

3. How We Use Information

We use collected information to:

• Provide and maintain the Hosted Reviews platform
• Send SMS review request messages on behalf of Business Owners
• Track review request delivery and conversion metrics
• Process payments and manage subscriptions
• Communicate with Business Owners about their account

4. SMS Messaging & Consent

How SMS Works on Hosted Reviews

Hosted Reviews enables Business Owners to send one-time SMS messages to their customers requesting feedback via a Google review link.

Consent Responsibility

Business Owners are solely responsible for obtaining proper consent from their customers before initiating any SMS review request through the Hosted Reviews platform. By using Hosted Reviews, Business Owners represent and warrant that they have obtained verbal or written consent from each End User prior to sending an SMS message.

Verbal Consent Process

The recommended verbal consent script for Business Owners is:

“Thank you for choosing [Business Name]. We’d love to hear about your experience. Would it be okay if we send you a quick text message with a link to leave us a Google review? You can opt out at any time by replying STOP.”

Upon receiving verbal confirmation from the End User, the Business Owner or their technician initiates the review request through the Hosted Reviews platform. The consent and timestamp are logged in our system when the review request is triggered.

Opt-Out

End Users may opt out of receiving messages at any time by replying STOP to any SMS message. Once an opt-out is received, no further messages will be sent to that phone number. End Users may also reply HELP for support information.

Message Frequency

End Users will receive a maximum of one (1) SMS message per service visit. Hosted Reviews does not send marketing messages, recurring campaigns, or promotional texts. Each message is a one-time, transactional review request tied to a completed service.

Message and Data Rates

Standard message and data rates may apply to SMS messages received by End Users, depending on their mobile carrier and plan.

5. Data Sharing & Third Parties

We do not sell, rent, or trade personal information to third parties.

We may share information with:

• Service providers who help us operate the platform (e.g., SMS delivery providers, payment processors, cloud hosting)
• As required by law in response to legal process, court orders, or government requests
• To protect rights when necessary to enforce our terms, protect our rights, or ensure the safety of our users

Third-Party Services

• SMS Delivery: We use third-party telecommunications providers to deliver SMS messages on behalf of Business Owners.
• Payment Processing: Subscription payments are processed by third-party payment providers. We do not store full credit card numbers.
• Cloud Hosting: Our platform is hosted on secure cloud infrastructure.

6. Data Retention

• Business Owner data is retained for the duration of the active subscription and for a reasonable period afterward for record-keeping purposes.
• End User data (names and phone numbers) is retained as part of the Business Owner’s client records within the platform. Business Owners may delete individual client records at any time.
• SMS delivery records are retained for compliance and analytics purposes.

7. Data Security

We implement industry-standard security measures to protect personal information, including:

• Encrypted data transmission (HTTPS/TLS)
• Secure password hashing
• Access controls and authentication
• Regular security reviews

While we take reasonable measures to protect information, no method of electronic storage or transmission is 100% secure.

8. Business Owner Responsibilities

By using Hosted Reviews, Business Owners agree that they:

• Have an existing business relationship with each End User they send review requests to
• Have obtained proper verbal or written consent from each End User before sending an SMS
• Will not use the platform to send unsolicited messages, spam, or messages to individuals who have not consented
• Are responsible for complying with all applicable federal, state, and local laws regarding SMS messaging, including the Telephone Consumer Protection Act (TCPA) and any applicable state consumer protection laws
• Will honor all opt-out requests promptly

Hosted Reviews provides the platform and technology for sending review requests. Hosted Reviews is not responsible for the consent practices of individual Business Owners. Business Owners assume full responsibility for ensuring they have proper consent before sending any messages through the platform.

9. Children’s Privacy

Hosted Reviews is not directed at individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will take steps to delete such information.

10. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Opt out of certain data processing activities
