By Alex Host, founder of Hosted Reviews and operator of Top Care Cleaning — Updated 2026-05-04

I run Top Care Cleaning and built Hosted Reviews. Read this knowing I'm biased toward my own product. I will tell you exactly when a competitor is the better fit.

Top Care Cleaning in Grandville, Michigan does window cleaning, among other services. We have 373 Google reviews at 4.9 stars. We have sent 70 SMS review requests and gotten a 21% conversion rate — 15 reviews collected. That is the context behind every recommendation in this article.

Here's what tools actually work for a window cleaning operation — and why the right answer is different from what a generic review software list says.

Why Window Cleaning Operators Have a Specific Problem with Review Tools

Most review tool lists are written for an undifferentiated "service business." Window cleaning has characteristics that change which tools belong on the shortlist.

Seasonal demand spikes. Window cleaning volume concentrates in Q2 and Q3 — spring and early summer exterior cleaning is high-frequency in most markets. A tool with a monthly SMS credit cap can exhaust that cap in the first two weeks of a busy May. Tools with hard caps (Whitespark's 300 credits, Podium's 250 Core credits) create exactly this problem: you're doing the most jobs when you can't send requests.

Technician-attributable reviews. Window cleaning is typically a single-tech or two-tech job. Customers have a relationship with the person who cleaned their windows — not an anonymous "the company." That means per-tech performance in review collection varies significantly, and that variance matters for coaching.

At Top Care, the range runs from Jayden at 31% conversion (4 reviews from 13 sends) to Parker at 10% (2 from 21). That is not a random distribution — it reflects something about how each tech communicates when closing a job. A review tool that doesn't show per-tech data is hiding information you need.

Day-of-service sends. Window cleaning jobs close in 2–4 hours. The customer's experience is fresh. The review request should go the same day — ideally within 2–4 hours of job completion. At Top Care, 71% of reviews are completed within 24 hours of the request. Wait until the next morning and that window narrows. Wait until the end of the week and the customer has moved on.

The Criteria That Matter for Window Cleaning Operators

Before comparing tools, here is the filter set for a window cleaning operation:

  1. No SMS credit cap — Volume in Q2/Q3 can exceed any reasonable monthly credit allocation. You need a tool that sends as many messages as you have jobs, not one that runs out in week two.
  1. Same-day send capability — Either an auto-trigger (via CRM integration when a job closes) or the ability to batch-send after a day's work is done. Not something that requires exporting a CSV the following week.
  1. Per-tech attribution in the reporting dashboard — If you can't see which technician generated which reviews, you can't coach lower performers or recognize higher ones.
  1. Price under $150/month — Window cleaning margins vary by market and company size. For a 3–10 tech operation, a $399/month communications platform is a meaningful percentage of net margin.
  1. Funnel screening — Occasionally a window cleaning job goes wrong: access issues, a broken screen, a frustrated customer. A tool that sends every customer directly to Google gives the unhappy one just as much visibility as the happy twelve. Funnel screening catches the low-score responses before they become public 1-star reviews.

The Short List: 3 Tools Worth Considering

1. Hosted Reviews — $29/$49/month

(Transparency: this is my product. I list it first because it is the most directly relevant for the buyer reading this page.)

$29/month starter, $49/month growth. No SMS credit cap. Twilio toll-free number. Real-time funnel screening — low-score customers are routed to private feedback before they reach the Google review form. Per-tech leaderboard built into the dashboard.

This is the tool that generated the numbers in this article: 70 SMS sent, 21% conversion, 71% finish in 24 hours, 35% reminder CTR, Tuesday sends generating 35% of conversions. Those numbers came from window cleaning, exterior cleaning, and residential cleaning jobs at Top Care.

Setup: 10 minutes from signup to first send. No CRM integration required at V1 (CSV and webhooks). No hidden fees, no per-location charges.

2. NiceJob — $75/$125/month

The highest-rated SMB review tool in independent reviews: G2 4.8/5 (416 reviews) and Capterra 4.9/5 (202 reviews) as of May 2026.

$75/month (Reviews) or $125/month (Pro). Native integrations with Jobber, Housecall Pro, QuickBooks, and ServiceTitan — review requests fire automatically when a job is marked complete, no manual action. The initial invite goes via SMS; follow-ups shift to email (up to 3 emails over 14 days).

For window cleaners already on Jobber, this is a meaningful differentiator. The request fires when you close the job in Jobber. You never forget to send it.

Where it falls short for window cleaning: no per-publication funnel screening, no hard data on whether the SMS cap applies (NiceJob doesn't publish a hard monthly SMS limit, which is different from having no cap — verify this before signing up for a high-volume season). Email-primary after the first text may underperform in conversion compared to a full SMS funnel.

Ownership note: NiceJob was acquired by Thryv. Verify current product direction before a long-term commitment.

3. Grade.us — $110/month (Solo)

Grade.us at the Solo tier ($110/month for one seat) has the most mature funnel design in this category. The thumbs-up/thumbs-down flow routes unhappy customers to private feedback before they reach a public review site — the same logic as Hosted Reviews' funnel, but implemented through landing pages rather than in-SMS conversation.

G2 4.6/5 (144 reviews) and Capterra 4.8/5 (244 reviews) as of May 2026.

The limitation for a window cleaning operator: SMS is an add-on on the Professional plan with unpublished pricing (not included in the base Solo tier, and not available during the free trial). You'd need to contact sales to activate SMS and get a quote. Setup takes 1–2 hours for campaign and funnel configuration — more friction than Hosted Reviews.

Grade.us makes the most sense for a marketing agency managing window cleaning companies as clients, not for the window cleaning owner managing their own reviews. The per-tech attribution and operator-facing dashboard are not what Grade.us was designed for.

Tools I'd Skip for a Window Cleaning Company

Birdeye (~$299–$449/location/month): The price doesn't fit a 5–20-tech window cleaning operation. You'd be paying for multi-location rollup dashboards, 250+ directory sync, AI chatbot, and social media scheduling — features that have no use case for a single-location window cleaning company. Source: Wiser Review Birdeye pricing, May 2026.

Podium ($399/month Core): The SMS credit bucket system (250 credits/month on Core) is a direct problem for a seasonal business. In peak window cleaning season — May through July — a 10-tech operation running 8 jobs/day could send 80+ review requests per week, or 320+ in a month. That exhausts Core in the first week and a half. Once credits run out, sends stop. That is the worst time for your review collection to stall.

Reputation.com: Enterprise-only. Minimum investment, no free trial, setup takes weeks. Built for multi-location dental groups and automotive chains. Not the right tool.

Whitespark Reputation Builder ($79/location/month): Strong funnel design (Ultimate request mode), but the same 300 SMS credits/month cap problem applies. A moderately active window cleaning season exhausts this quickly. Good for agencies or operators with very low monthly job volumes.

Send timing:

For a window cleaning operation: send the same day the job closes, preferably before 12pm or within two hours of job completion. Tuesday sends dramatically outperformed Wednesday in this cohort — timing matters more than most operators assume.

How to Set Up Your Window Cleaning Review System in One Afternoon

The process regardless of which tool you choose:

  1. Claim and verify your Google Business Profile. If it's not claimed, no review tool can help you — reviews need somewhere to go.
  1. Get your Google review link. Use the free Google review link generator to get your g.page short link in 30 seconds.
  1. Choose your tool. For most window cleaning operators under 50 employees: Hosted Reviews or NiceJob.
  1. Load your customer list. Either via CSV upload (Hosted Reviews, Whitespark) or via CRM sync (NiceJob with Jobber/HCP). Start with your last 30 completed jobs.
  1. Write your SMS template. Keep it under 160 characters. Include the business name, technician name if possible, and the review link. Example: "Hi [name], it's Tyler from Top Care. Thanks for letting us clean your windows today — would you mind leaving a quick Google review? [link]"
  1. Send your first batch. Don't overthink it. Send to your most recent 20–30 customers and see what comes back.

Setup time: Hosted Reviews — 10 minutes. NiceJob (with Jobber integration) — 30–60 minutes. Grade.us — 1–2 hours.

Frequently Asked Questions

What review tool works best with Jobber for window cleaning?

NiceJob has the strongest native Jobber integration — review requests fire automatically when a job is marked complete. If zero-touch automation after job close is the priority, NiceJob at $75/month is the right answer for window cleaners on Jobber.

How many Google reviews does a window cleaning company need to rank?

There is no fixed number — local pack ranking factors include review count, rating average, review recency, and geographic relevance relative to the searcher. In most local markets, 50+ reviews at 4.7+ stars puts a window cleaning company in contention for the local pack. The companies outranking you often have 150–400 reviews. Review velocity (new reviews per month) is as important as total count.

Can I send review requests via SMS for a seasonal window cleaning operation?

Yes — and it is particularly effective for window cleaning because the job experience is visible and memorable for the customer. The key is choosing a tool without a hard SMS credit cap (Hosted Reviews, NiceJob) so that peak season volume doesn't hit a wall. Avoid Podium Core (250 credits/month) and Whitespark (300 credits/month) if your summer volume exceeds these limits.

What's the best time to send review requests after a window cleaning job?

Same-day sends convert better than next-day or batch-at-end-of-week. Top Care data: 71% of reviews are completed within 24 hours of the request. Send within 2–4 hours of job completion if possible. Tuesday sends outperformed Wednesday sends significantly in Top Care's cohort — track your own day-of-week data and optimize accordingly.

How do I handle a negative review from a window cleaning job?

Respond publicly within 24 hours, acknowledge the issue, and offer to make it right offline. Do not argue or dismiss the concern. A thoughtful response to a negative review demonstrates professionalism to every future customer reading it. Funnel screening tools (Hosted Reviews, Grade.us) reduce the frequency by routing unhappy customers to private feedback first — but they do not eliminate the possibility. See the Pillar 5 hub on negative review strategy for the full response framework.

Closing Block

For a window cleaning company, the tool decision comes down to three variables: do you use Jobber (NiceJob), do you have a budget under $50/month (Hosted Reviews), and do you want funnel screening (Hosted Reviews or Grade.us)?
