By Alex Host, founder of Hosted Reviews and operator of Top Care Cleaning — Updated 2026-05-04
I run Top Care Cleaning and built Hosted Reviews. Read this knowing I'm biased toward my own product. I will tell you exactly when a competitor is the better fit.
I evaluated all six tools below before building Hosted Reviews. I still own a cleaning company — Top Care Cleaning, Grandville MI, 4.9 stars across 373 Google reviews. This is the list I'd give a friend who called asking which review tool to use — not a paid rankings post.
The shortlist matters. G2's "best review management software" category returns 50+ vendors with paid placements visible. The only six tools worth evaluating for a sub-50-employee local service business fit on one page.
What to Look for Before You Read Any Reviews
Five criteria for operators in trades, cleaning, HVAC, plumbing, landscaping, or exterior services:
- SMS-first delivery — Does the platform send review requests via text as the primary channel, not just an optional add-on? Most customers won't open an email from a service business they saw two hours ago. Text messages get opened.
- Funnel screening — Is there a pre-publication negative feedback intercept? Before a dissatisfied customer reaches the "click to leave a Google review" button, does the tool ask how the experience was and route low scores to private feedback first?
- All-in monthly price — What does the first month actually cost, including any add-ons, 10DLC fees, or SMS credit purchases required to make the platform functional?
- Setup time — How long from signup to first review request sent? A tool that requires two weeks of onboarding and integration configuration will not be used by an operator running a 15-person cleaning company.
- CRM integration depth — Does the tool connect natively to Jobber, Housecall Pro, or ServiceTitan so that review requests fire automatically after job close, or does it require manual uploads?
Most operators start by copying their Google review link from the GBP dashboard and pasting it into a text message manually. That works until it doesn't. When volume exceeds your ability to remember who to text, a review tool earns its cost.

1. Hosted Reviews — $29/$49/month
(Transparency: this is my product. The other five entries are fully honest.)
Built by Top Care Cleaning — a 45-year-old residential and commercial cleaning business in Grandville, Michigan. The product exists because none of the other five tools here matched what a 15-person service business actually needs: SMS-first delivery, real-time funnel screening, and per-technician performance tracking, at a price that makes sense when your revenue is five figures monthly, not mid-six.
What it does: Sends review requests via SMS (Twilio toll-free number), screens customers through a funnel before directing them to Google, tracks conversion rates by technician, and shows timing analytics (send-day distribution, completion rates).
Real numbers from Top Care: 70 SMS sent in a test cohort → 21% conversion (15 reviews collected). 71% of reviews completed within 24 hours. Tuesday sends generated 35% of conversions; Wednesday sends generated 7%. Per-tech range: Jayden 31% (4/13) to Parker 10% (2/21). Reminder CTR: 35%. These numbers are the basis for every product decision.
Where it wins: Price. Funnel screening. True SMS-first with no credit caps. 10-minute setup. Operator-built and field-validated.
Where it falls short: No native Jobber/Housecall Pro integration at V1 (CSV and webhooks only). No referral automation. No multi-location rollup dashboard.
2. NiceJob — $75/$125/month
The highest-rated tool in this category on independent review platforms. G2 4.8/5 across 416 reviews and Capterra 4.9/5 across 202 reviews as of May 2026 — no other tool in this list comes close.
What it does: Automated review request campaigns triggered by CRM job-close events. Native integrations with Jobber, Housecall Pro, QuickBooks, and ServiceTitan. SMS invite fires first; email follow-ups continue for up to 14 days. Social auto-sharing, review monitoring, referral automation (Pro), AI review replies (Pro).
Where it wins: CRM integration depth is the primary value. If you're on Jobber, review requests fire automatically when a job closes — zero manual work after setup. Referral campaigns at the Pro tier are a genuine growth driver for some operators.
Where it falls short: No pre-publication funnel screening. Email-primary after the initial text. 37–61% more expensive than Hosted Reviews for comparable core functionality.

3. Podium — $399/$599/month
The most recognized brand in SMS review collection. Podium was built from the ground up on SMS, and it shows — the two-way inbox, the contact conversation history, and the text-based payment collection are features a service business can actually use.
What it does: Two-way SMS inbox, review requests via text, website chat widget, payment collection, text marketing, AI phone call summaries, 200+ integrations. Source: Podium Pricing Page.
The hidden cost structure: The $399/month Core plan includes 250 text credits/month for bulk outreach. Credits don't roll over. Overage blocks sends. Additional costs: $5/month 10DLC fee per US location, $15/month High-Volume Messaging add-on on Core (included on Pro). A 15-person cleaning company running Core would pay $419/month minimum before any AI features.
Where it wins: If you need a full customer communications platform — SMS inbox, payments, and marketing under one roof — Podium does this better than any tool here at any price. G2 4.6/5 (2,095 reviews) as of May 2026.
Where it falls short: No native funnel screening. Credit buckets create volume constraints. Price is 8–14x Hosted Reviews for operators who only need review requests.

4. Birdeye — ~$299–$449/location/month
The category's most-reviewed tool by a wide margin — G2 4.7/5 across 4,031 reviews and Capterra 4.7/5 across 703 reviews as of May 2026. Multi-location AI platform with listings management, social scheduling, and chatbot.
Important source disclosure: Birdeye does not publish prices on their website. The figures below come from Wiser Review's Birdeye pricing breakdown and Reviewflowz's analysis, both as of May 2026. Treat them as approximate.
- Starter: ~$299/location/month
- Growth: ~$399/location/month
- Dominate: ~$449/location/month
Annual pre-pay required for advertised rates.
Where it wins: Multi-location rollup dashboards. 250+ directory listings management. AI review responses, chatbot, and social publishing for brands with marketing staff. If you manage 4+ locations and need one platform for reviews, listings, and social — Birdeye is the right tool.
Where it falls short: Overbuilt and overpriced for a single-location service business. The "#1 complaint is price" per G2 review summary. Setup takes days to weeks.

5. Grade.us — $110/month (Solo)
An agency-focused review management platform with the most mature funnel design in this category. The thumbs-up/thumbs-down flow is a purpose-built pre-publication intercept that has been used across hundreds of agency client accounts.
What it does: Review funnel landing pages, email and SMS campaigns (SMS is an add-on with unpublished pricing), review monitoring across 80+ sites, white-label client dashboard, PDF/CSV reports. Source: Grade.us Pricing Page.
G2 4.6/5 (144 reviews) and Capterra 4.8/5 (244 reviews) as of May 2026.
Where it wins: For agencies managing 10+ SMB clients, the Agency plan at $400/month (10 seats) is $40/seat — competitive at scale. White-label capability and prospect finder tools add genuine agency value.
Where it falls short: A single-location operator paying $110/month for one "seat" is overpaying compared to alternatives that provide the same core function at $29–$75/month. SMS is an add-on with unpublished pricing. The platform UX is optimized for agencies managing multiple clients, not for a cleaning company owner managing their own reviews.
6. Whitespark Reputation Builder — $79/location/month
A well-respected local SEO brand. The Reputation Builder is a standalone review collection tool trusted by local SEO practitioners and agencies in the Whitespark community.
What it does: Email and SMS review requests, three request modes (Ultimate, Simple, Direct), review monitoring across 100+ sites, 1st-party testimonial capture, review display widgets. The Ultimate request mode is a genuinely strong funnel: NPS → survey → 1st-party testimonial → 3rd-party review, with negative-score customers routed to private feedback. Source: Whitespark Reputation Builder.
The constraint: 300 SMS credits/month hard cap. No published overage option — once exhausted, SMS sends stop until next billing cycle. Per BrightLocal's tool comparison, there is no documented overage path.
G2 rating: 4.6/5 per the Whitespark seller profile, though review volume is limited — Whitespark has far more reviews for its Citation Finder tool than for the Reputation Builder. Treat the rating with that context in mind.
Where it wins: For a local SEO agency or a light-volume single-location operator sending fewer than 200 SMS/month, Whitespark is a mature, trustworthy platform with a good funnel design.
Where it falls short: The SMS cap is a real operational constraint for any service business with consistent daily job volume. $79/location/month is also a higher entry price than most operators need for what the tool delivers at the single-location level.

What These Tools Do NOT Replace
Your Google Business Profile: A review management tool drives customers to your GBP review form. It does not create or optimize your GBP. Before choosing any tool, verify that your GBP is claimed, verified, and that your review link works. Use the free Google review link generator to get your link in 30 seconds.
Responding to reviews: All six tools here automate the request. None of them write your responses. Responding to reviews — especially negative ones — is a separate discipline. See the Pillar 5 hub on negative review response strategy for that.
V2 note: An interactive comparison matrix and ROI calculator are on the Year-2 roadmap. Flag for V2 build — we'd like a tool here that lets an operator input their monthly job volume and see exact cost comparisons.
Frequently Asked Questions
What is the best review management software for a cleaning company?
For a single-location cleaning company under 50 employees, Hosted Reviews ($29/month) or NiceJob ($75/month) are the two tools that match the use case. The deciding factor: if you use Jobber or Housecall Pro and want zero-touch automation, NiceJob. If you want funnel screening and lower cost, Hosted Reviews. Every other tool in this list is overbuilt, overpriced, or built for agencies rather than operators.
Is there free review management software?
No tool in this list offers a permanent free plan. All six offer free trials (except Podium and Birdeye). NiceJob, Grade.us, and Hosted Reviews all offer 14-day trials with no credit card required.
What's the difference between review management software and a review widget?
A review widget displays existing reviews on your website — it is a publishing tool. Review management software drives new reviews — it sends requests, screens customers, and routes them to public review platforms. You may want both, but they do different jobs.
Do I need review management software if I'm already getting good reviews?
Not necessarily. If you're getting 5+ new Google reviews per week without a systematic process, a tool may add overhead without proportional return. If you're getting fewer reviews than your job volume would predict, or if you're concerned about unhappy customers reaching Google before you can respond, a review tool with funnel screening changes the math.
Which review management tools include funnel screening?
Among the six tools in this list: Hosted Reviews (yes — real-time SMS-based), Birdeye (yes — negative intercept flow), Grade.us (yes — thumbs-up/thumbs-down, core feature), Whitespark (yes — Ultimate request mode). NiceJob (no) and Podium (no) do not include native pre-publication negative intercept.
